Job Advert Summary:

We are seeking a highly skilled and experienced Administrative Officer to ensure administrative controls within our Distribution branch.

The successful candidate will be responsible for performing secretarial tasks, administrative tasks, and monitoring expenses, among other duties.

Responsibilities:

– Perform secretarial tasks as per the Distribution Manager’s requirements
– Perform administrative tasks, including filing, storage, and security of documents
– Co-ordinate the repair and maintenance of computer and office equipment

– Respond to customer queries and deal with administrative queries
– Reconcile stock and place orders, e.g., driver clothing, etc.
– Administer and monitor expenses
– Ensure data/transactions are properly recorded and entered into the DFSA accounting system

– Assist with the annual audit and maintain financial files and records
– Issue, code, and authorize purchase orders
– Reconcile accounts payable and administer accounts

– Prepare payments and assist with general departmental needs
– Support with ad-hoc requests, prepare presentations, and arrange functions, meetings, workshops, etc.
– Make flight, travel, and accommodation arrangements (domestic and abroad)

Requirements:

– National Diploma in Business Administration or related field
– Fluent in Business English
– Intermediate computer literacy
– Relevant experience in applying job-related concepts, techniques, and processes at the required level
