Job Description:
Motus Toyota Cape Gate is seeking a highly skilled and experienced Administrator: Bookings to join their team. The successful candidate will be responsible for effectively loading the Service Department, managing appointments, and ensuring customer satisfaction.
Key Responsibilities:
– Answer telephone calls according to telephone standards
– Use current Standard Operating Procedures (SOP) for appointment taking processes
– Ensure appointments are spread out for every ten to fifteen minutes
– Update time bucket consistently with flat-rate to ensure all available productive time is used
– Monitor appointment rates daily and monthly, including carry-overs, repeat repairs, walk-ins, etc.
– Monitor no-show rate and keep record of reasons for no-shows
– Pre-print repair orders for the following day
– Allocate time available for appointments, carry-overs, and walk-ins
– Send timeous reminders to customers for service daily
– Pre-print job cards daily
– Efficiently check all job cards to ensure all paperwork is attached as per SOP’s
– Book and control Special Campaign Recalls
– Record all job cards on and off-site for easy access and record keeping
– Perform any other reasonable duties required
Qualifications and Experience:
– Minimum of Grade 12
– Computer literacy essential
